We are seeking a full-time Litigation Legal Secretary to join our Century City (Los Angeles) office. The ideal candidate is highly organized, tech-savvy, and thrives in a fast-paced, team-oriented environment while delivering high-quality work and exceptional client service. A hybrid work option (4 days in-office, 1 day remote) may be available after 90 days.

RESPONSIBILITIES

  • Coordinate attorney schedules, meetings, depositions, court appearances, travel, etc.
  • Assist in the preparation and finalization of legal documents by ensuring the timely completion of tasks.
  • File documents electronically with state and federal courts, ensuring compliance with court rules and deadlines.
  • Coordinate and schedule couriers, court reporters, expert witnesses, and other essential services to ensure seamless support.
  • Maintain and organize case files, both physical and electronic, and manage case calendars and deadlines.
  • Ensure incoming and outgoing mail is processed according to office procedures and attorney preference.
  • Perform general administrative tasks such as time entry, expense reporting, and billing.
  • Complete and submit conflict check and new client matter forms.
  • Maintain good public relations and diplomacy with clients while observing confidentiality of the attorney-client relationship.
  • Additional duties as assigned, including assisting other secretaries, as needed.

 

EDUCATION AND EXPERIENCE

  • 5+ years of law firm litigation secretary or assistant experience
  • Knowledge of federal and state court filing procedures, including e-filing requirements
  • Advanced working knowledge of the Microsoft Office Suite
  • Familiarity with document management systems and time entry software
  • Proven track record of reliable attendance and punctuality
  • Effective communication and organizational skills
  • Superior attention to detail and a high level of accuracy
  • Strong client focus
  • Self-motivated, able to work independently, and anticipate the attorney's needs
  • Experience supporting a minimum of three attorneys, including partner-level attorneys

 

Salary Range: $80,000 - $92,000
