Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an opening for a Legal Support Assistant in its Nashville office. The ideal candidate will have administrative experience, be extremely professional, possess exceptional communication and organizational skills, excellent computer skills, have a strong proficiency in MS Word, Outlook and Excel, and the ability to work effectively within a group or independently.  Candidate should type a minimum of 65 words per minute with high accuracy. This position will provide support to several attorneys and work together with Legal Support Coordinators in a team environment.  The candidate should be detail-oriented, personable and able to work well in a fast-paced environment.

Responsibilities include conducting client conflict checks, opening new files; updating and maintaining files in a timely manner including indexing litigation files for hard copy files as well as online; typing memoranda, correspondence and other documents; saving documents into document management system; time entry; processing client bills; transcribing dictation; maintaining calendars with litigation dates and deadlines, as well as other necessary dates; reviewing vendor invoices and requesting checks for payment in a timely manner. This position will support attorneys, paralegals, and legal support coordinators, working within a team environment.

QUALIFICATIONS:

  • Office administrative experience (law firm experience preferred but not required)
  • Basic knowledge of office equipment, including computer and copiers
  • Proficient in Microsoft Office specifically, Word, Outlook, and Excel
  • Interpersonal skills necessary to communicate and follow instruction of office management, attorneys and other staff and provide information with extraordinary courtesy and tact in a fast-paced demanding environment

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Schedules and coordinates meetings and conferences which may include distribution of materials.
  2. Coordinates and schedules travel arrangements which include: transportation, automobile rentals, and hotel reservations.
  3. Prepares and maintains client and office files both in electronic and paper filing systems.
  4. Prepares expense reports and check requests.
  5. Proofreads all work for accurate content and context.
  6. Assists with client bills.
  7. Accurately inputs attorney time into the accounting system when necessary.
  8. Provides services such as duplication, printing, scanning, mailing.
  9. Prepares engagement letters, invoices, and other case administration documents as needed, at direction of either attorney or paralegal.
  10. Liaises with third party vendors when necessary to coordinate services.
  11. Performs data entry, which includes inputting clients' personal biographic or corporate information into firm software.
  12. Physical presence in the office is an essential duty of this position.

 KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  1. Ability to organize and prioritize numerous tasks and complete them under time constraints.
  2. Ability to proofread typed material for grammatical, typographical or spelling errors.
  3. Interpersonal skills necessary in order to communicate by phone and in person and follow instructions effectively with a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
  4. Ability to transcribe legal documents, correspondence and reports from rough draft, dictation, or transcription at least 65 wpm.
  5. Work occasionally requires a high level of mental effort and strain when producing a high volume of information.
  6. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
  7. College degree preferred, but not required.

EDUCATION AND WORK EXPERIENCE

Applicant must possess a four-year college degree.
