Description

Cozen O’Connor is seeking a full-time Legal Practice Assistant to assist the legal support team and attorney(s) in processing of work in an efficient, accurate and prompt manner.  This is a hybrid position in based in the Philadelphia, Pennsylvania office. 

 



Responsibilities
  • Prepares/transcribes legal correspondence, memos, reports, and forms from Big Hand or other media.
  • Prepares new client and/or new matter forms.
  • Prepares expense reports and check requests.
  • Prepares engagement letters, invoices, and other case administration documents as needed, at direction of either attorney or paralegal.
  • Provides efficient workflow including printing, scanning, emailing, converting documents to PDF, preparing certified mail and Federal Express labels and mailing documents.
  • Proofreads all work for accurate content and context.
  • Prepares and maintains confidential client and office files both in electronic and paper filing systems.
  • Liaises with third party vendors when necessary to coordinate services.
  • Communicates with clients (via phone or email).
  • Performs data entry, which includes inputting clients’ personal biographic or corporate information into firm immigration software. I don’t do this and I don’t know exactly what this is but I am assuming it is Interaction. 
  • Schedules and coordinates meetings, depositions and conferences, including greeting client and distribution of material.
  • Coordinates and schedules travel arrangements which include: transportation, automobile rentals, and hotel reservations.
  • Maintains attorneys’ calendars, also prepares calendar invites for Zoom/Team meetings.
  • Accurately inputs attorney time into the accounting system.
  • Responsibilities associated with the job may change from time to time in accordance with business needs; incumbent may be required to perform other duties as assigned.
  • Electronic Court Filings -prepare documents for electronic filing for various courts – some of us do this, I would add this

     


Qualifications
  • Proficiency in Microsoft applications with advanced level in Microsoft Word and Outlook. Experience with Chrome River a plus.
  • Outstanding written and verbal professional communications; ability to professionally interact with clients, attorneys, and staff is required.
  • 5-10 years of legal or related experience is preferred.
  • Must be team-oriented and willing to help for pressing matters and deadlines.  Ability to work overtime is required.  (I don’t think this is a requirement for our department if you are going to leave it in I think it needs to be worded differently)
  • High School diploma or equivalent experience required, college degree preferred.
  • Strong document processing skills and typing skills.
  • Strong organization, project management and technical skills required.
