Position Summary

The Community Association Legal Assistant provides comprehensive support to assigned attorneys while assisting the Collections and Foreclosure Department with managing documentation, coordinating case activities, and ensuring the timely and accurate processing of matters related to community association (HOA/POA) law, collections, and foreclosure actions.

Duties and Responsibilities

  • Manage attorney calendars, scheduling, and daily workflow.
  • Interact professionally with potential and existing clients.
  • Prepare and process attorney expense reports in a timely manner.
  • Enter attorney billable time and assist with pre-bill edits and monthly billing deadlines using billing software (e.g., Aderant).
  • Organize and maintain electronic files, correspondence, and documents within document management systems (e.g., iManage).
  • Ensure accuracy of client data within CRM systems (e.g., InterAction).
  • Oversee file opening and closing procedures, including verification of cleared/distributed funds and payment of vendor invoices.
  • Conduct corporate and property research using applicable state and county resources.

 Community Association (HOA/POA) Support:

  • Assist in drafting, editing, and finalizing legal documents including correspondence, covenant enforcement letters, amendments, contracts, and notices.
  • Prepare and coordinate Annual and Special Meeting Notice Packages for association clients.

 Collections & Foreclosure Support:

  • Generate legal correspondence including retainer letters, satisfaction of lien letters, and disbursement letters.
  • Request and review title reports.
  • Coordinate with process servers for service of complaints.
  • Schedule hearings and coordinate with opposing counsel.
  • E-file and e-record pleadings and legal documents.
  • Manage attorney e-signatures and outgoing mail.
  • Process check requests, deposits, and file closures.
  • Assist paralegals with administrative support and phone coverage as needed.

Administrative & Workflow Management:

  • Manage incoming and outgoing mail and correspondence.
  • Review, prioritize, and respond to high-volume workflows and shared mailboxes.
  • Maintain a paperless workflow, ensuring accurate electronic documentation and task tracking.
  • Collaborate across teams to meet deadlines and ensure efficient case progression.
  • Perform other duties as assigned.

  • Proficiency in Microsoft Office Suite and PDF editing tools.
  • Experience with legal billing and document management systems (Aderant, iManage).
  • Familiarity with collections and foreclosure software preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.

Education and Experience

  • Associate degree in Paralegal Studies or a related field required; bachelor’s degree preferred.
  • Minimum of five (5) years of experience in legal assisting required, with a strong emphasis on:
    • Collections and foreclosure matters
    • Community association (HOA/POA) law (preferred)
  • Prior experience in a law firm or corporate legal environment required.
